(Accounting → Journal → «New entry») — no debit or credit:
- «What happened?»: purchases & expenses, cash ↔ bank transfer, owner put money in, owner took money out, staff advance, bought an asset, other income, or something else.
- «Money came from»: the cash box or the bank.
- «Where did it go?»: a line per item (rent, power, repairs, stock…) with its amount; tick «Incl. 15% VAT» when the bill has VAT — it is split off and counted in the VAT return (input VAT). Press Enter after the amount for a new line.
- Check «How it is posted» and Save. When Save is greyed out, the reason is written next to it.
- A whole month of purchases and expenses in one entry: same thing, a line per item. (For quantities in stock or a supplier balance, use Purchases.)
- Need debit/credit yourself or more than one source? «Detailed entry» moves what you typed to the usual entry screen.
Also on the journal:
- Search by entry no. (JE-12), amount, memo or account, and a kind filter (manual, sales, purchases, payroll…); each entry shows its kind. «Show more» loads older ones.
- «Open the document» opens the invoice, purchase or expense behind the entry.
- Attachments (paperclip): a picture of the receipt, contract or transfer, or a PDF (up to 10 per entry).
- Copy entry (manual): opens a copy dated today to edit and save. For monthly repeats: Planning → Recurring entries.
- Reverse entry (manual): posts a reversing entry today; the original stays, marked «Reversed by». Automatic entries are fixed from their document.
- Excel export and Print for the listed entries, or print one from its printer icon.
